I refer to your online Official Information request of 7 May 2021 regarding the contract between Trility and Rotorua Lakes Council.
Below are the responses to the questions contained in your request:
- How many workshops were held regarding this contract prior to its commencement?
1 workshop/forum via Zoom (during Level 4 lockdown in 2020) – 8 May 2020

The forums (workshops) were held as per the Governance Statement 2020 adopted by Council on 26 March 2020 as follows:
Forums
From time to time council will hold forums. Forums or informal meetings are to brief elected members on emerging issues, or get an indication of councillor preference before initiating a policy or project, or provide an opportunity for the council to develop ideas and to be informed of the options and issues the council may face. Forums cannot be used to make decisions. These sessions are not open to the public or the media. The Local Government Official Information and Meetings Act in relation to meeting establishment does not apply to forums. - There is possible misconception in the public domain that the “gravity fed mains are not included” in the contract. Can you confirm if this is true or misinformation?
Gravity fed mains are included in the contract.

Redactions to the above documents have been made under the following sections of the Local Government Official Information and Meetings Act, as indicated:
- Section 7(2)(a) protect the privacy of natural persons
- Section 7(2)(b)(ii) would be likely unreasonably to prejudice the commercial position of the person who supplied or who is the subject of the information
