Subject: LGOIMA request - Spencer's Oak Tree

I refer to your email of 8 January 2018 requesting various documents pertaining to Spencer's Oak in Amohia Street.

Attached is all documentation held regarding this Oak tree. This information also includes a statement from the Open Spaces Operations Advisor -Horticulture (item 10) for work that has been done in relation to various reports that Council cannot locate or do not have the records for.

With regard your specific questions I can answer as follows:

1. A copy of the February 2017 report.
2. A copy of the complaint or concern made by a local tree specialist a few months prior.(Refer to item 10)
3. Any internal emails making reference about this tree for the past 12 months between council staff and councillors. (No correspondence of this nature exists).
4. Minutes of any committee meeting where this tree was mentioned or discussed.
5. Any arborist reports about the tree for the past 10 years.

Council's usual practice with LGOIMA information is that it goes online as soon as it has been sent to the requestor. However, considering the amount of information being provided, we want to give you the opportunity and time to read it through, then on Monday 12 February Operations Group Manager Henry Weston will be available at Council at 9.30am to take you through and explain the documentation, and answer any additional questions you may have.
